PayPal bank feed for Xero: import PayPal statements as a live feed

Xero offers a PayPal direct feed, but it runs one currency per feed, imports only completed, cleared or reversed transactions, and turns balance conversions into transfers it cannot match. StatementClear posts the same PayPal exports into Xero as live feed lines, deduped and balance-checked.

The PayPal balance that never quite matches Xero is a monthly tradition. Where the native PayPal feed falls short

Xero offers a PayPal direct feed, but it is single-currency per feed, only imports non-zero transactions with a completed, cleared or reversed status, and turns conversions between currency balances into transfers it cannot match. The gaps still get filled by manual import.

PayPal's activity export puts Gross, Fee and Net on the same row, while the balance only ever moves by the net - map the gross without the fee and your running balance drifts on every single sale. Currency conversions appear as two or three linked rows, money out of one currency and into another, which is why they refuse to match anything in Xero. The export itself has quirks worth knowing: history goes back seven years but only twelve months per request, CSVs cap at 50,000 rows before splitting into a ZIP, and the status column mixes completed, pending and reversed activity. The Balance column is your friend - it is what StatementClear checks your mapped amounts against before posting.

The manual way, every month

  • Log in and export a statement (and hope the format didn't change)
  • Reformat columns, dates and signs until Xero's importer accepts it
  • Upload the CSV into the right account and pray nothing doubled up
  • Eyeball the balance, fix what broke, repeat next month

And after all that, it still isn't a feed - it's a one-off import you'll redo next month.

Questions about PayPal and Xero

For everything the native feed leaves behind: currency balances beyond your primary one, history from before the feed was connected, and the transactions it skips outright, such as zero-value and pending items. You export the activity from PayPal as usual, upload it, and StatementClear posts it into Xero as feed lines rather than another manual import. It also covers PayPal accounts that cannot get the native feed at all.
