Where the native PayPal feed falls short

Xero offers a PayPal direct feed, but it is single-currency per feed, only imports non-zero transactions with a completed, cleared or reversed status, and turns conversions between currency balances into transfers it cannot match. The gaps still get filled by manual import.

PayPal's activity export puts Gross, Fee and Net on the same row, while the balance only ever moves by the net - map the gross without the fee and your running balance drifts on every single sale. Currency conversions appear as two or three linked rows, money out of one currency and into another, which is why they refuse to match anything in Xero. The export itself has quirks worth knowing: history goes back seven years but only twelve months per request, CSVs cap at 50,000 rows before splitting into a ZIP, and the status column mixes completed, pending and reversed activity.

The manual way, every month

• Download the statement for the missing period
• Check the file format, dates and signed amounts
• Import into the correct Xero account and review overlaps
• Compare the closing balance and reconcile the lines

A usable CSV or OFX from the provider may be enough. Native PDF import is also available for eligible US and Canadian Xero organisations.

Review the statement, then choose how to import it

Preview the extraction, check the transactions, then send eligible lines through Xero's Bank Feeds API or download a Xero-ready CSV. Direct delivery supports dates within the last year and can be blocked by another provider's feed connection. Use CSV for older history. Overlap checks cover previous uploads to the same StatementClear feed, so also check any period already imported from other sources.
