Can you import a PDF bank statement into Xero?

It depends on your Xero organisation's region. Xero documents native PDF statement import for the US and Canada. For other regions, use an accepted export such as CSV or OFX, or a connected tool that reads the PDF.

Xero's current PDF import documentation limits the feature to US and Canadian organisations and excludes its Ledger plan. Supported document types and banks vary. Check the current requirements before preparing a batch.

If native PDF import is available

Open Accounting, then Bank accounts. Find the destination account and choose Import a Statement. Select your PDF, review the extracted transactions and complete the import. Compare the imported period and closing balance with the bank's statement before reconciliation.

Xero recommends a digital bank download where possible. Its requirements include an English document, no password protection, a maximum of 100 pages and 35 MB, and at least 200 DPI. Scans should be straight. See Xero's complete requirements for changes and supported banks.

If your Xero organisation needs a CSV

  1. Download the bank's CSV or OFX export if one is available and contains the period you need.
  2. If you only have a PDF, upload it to StatementClear and check the extraction against the original.
  3. Create your account and download the reviewed Xero-ready CSV. Keep accounts and currencies separate.
  4. In Xero, choose the correct bank account and Import a Statement. Upload the file, confirm the date format and column mapping, and review the rows.
  5. Check for missing or overlapping periods and reconcile the imported lines. Repeat for each file if a long statement was split.

The bank's original export is often enough. When using a converted file, review it before import: date formats, debit and credit signs and a missed page can change the result. Follow Xero's CSV import instructions for its current workflow.

What about direct delivery to Xero?

StatementClear can send eligible lines through a connected bank feed after you review them. That saves the file download and manual import step. It requires your authorisation in Xero and a bank account that can accept the connection.

For transactions more than one year old, use CSV. If another provider already holds the account's feed connection, use CSV or check the connection with support before changing it. Keep a working native bank feed where it serves the account.

Prevent overlap before it reaches the books

Write down the first and last missing dates before you import. Compare them with existing Xero statement lines, including anything created by a previous bookkeeper. Xero recognises some duplicates during import, but review overlapping periods and repeated payments yourself.

StatementClear's overlap checks use its own feed's prior uploads. They don't prove that a transaction is absent from every other source in Xero. Once the lines arrive, reconcile them and compare the final account balance with your statement.
