Convert a PDF bank statement for Xero

First, check whether you need a converter
If your bank offers a usable CSV or OFX export, you may be able to import that directly into Xero. For US and Canadian Xero organisations, native PDF import may also cover the job. Our regional import guide explains that option.

How to get your PDF into Xero

Upload the statement
Choose the PDF downloaded from your bank, or use a CSV or Excel export. Start with one account and one currency so the output has a clear destination. A digital PDF usually gives cleaner source material than a scan.

Review the extracted transactions
Check the first and last dates, the number of rows and the money in and out. Compare against the original statement. Balance checks are available where the source supplies balance figures; a passed check doesn't replace review of the document.

Choose direct delivery or CSV
Create your free account to finish. For direct delivery, authorise Xero, select the organisation and eligible bank account, and review the posting preview. Choose CSV for older history or if you prefer to import the file yourself.

Finish reconciliation in Xero
Confirm that the expected period has arrived, then reconcile in Xero. Check any overlap with native feeds or earlier manual imports. A file arriving in Xero isn't the same as the account being fully reconciled.
Two ways to finish the same job
Send to Xero
Eligible statement lines go through the Bank Feeds API and arrive ready to reconcile. Transactions must fall within its supported one-year window. Another provider's feed connection may prevent this route.
Download a Xero-ready CSV
Download the reviewed transactions and use Xero's Import a Statement screen. Longer statements are split into files of up to 1,000 rows. CSV is the route for history older than one year.
Checks that help you review the result
StatementClear normalises dates and amounts, checks signs and uses available balance data to flag inconsistencies. Saved mappings help with repeat CSV and Excel exports. Overlap checks compare against previous uploads to the same StatementClear feed.
Those checks don't provide a complete view of lines delivered by other applications or native bank feeds. Pick the missing date range carefully and compare it with Xero before importing. If a scan is faint, cut off or ambiguous, correct the source or extracted values before completing the job.

Common questions
Can I convert one PDF bank statement for free?
Yes. StatementClear includes one complete statement per account, with no card required. Preview the extraction, create your account, then send eligible lines to Xero or download a Xero-ready CSV. The free allowance doesn't renew each month.
Do I need to connect Xero to get a CSV?
No. An account is required to complete the free statement, but you can choose CSV without authorising a Xero connection. Connect Xero if you'd like to send eligible statement lines directly.
Can I import old PDF statements into Xero?
Use CSV for transactions more than one year old. Direct delivery through StatementClear's Bank Feeds connection only accepts eligible dates within the last year. For a statement spanning that date boundary, choose CSV for the complete statement.
Are the transactions automatically reconciled?
No. StatementClear delivers bank statement lines. You review and reconcile those lines in Xero against invoices, bills or other accounting transactions.
